Capture Technical Follow-Ups from a Live Demo with Zoom AI Companion

What This Does
During a demo, questions and action items come fast, and reconstructing them from memory afterward means something gets lost. Zoom's AI Companion listens to the call and produces a written summary of the topics discussed, decisions made, and action items, usually within minutes of the call ending.
Before You Start
- A Zoom account on Workplace Pro, Pro Plus, Business, Business Plus, Enterprise, Enterprise Plus, or Enterprise Bundle. AI Companion is not available on Zoom's free Basic tier
- AI Companion turned on at the account level. This is an admin setting, so ask your Zoom admin to confirm it is enabled if you cannot find the option below
- Host or co-host permissions for the demo call, since only a host or co-host can start the summary
- Zoom's desktop or mobile app updated to a recent version
Steps
1. Find the AI feature
Start the demo as host. Hover over the AI icon in the top right corner of the meeting window (on mobile, tap the AI icon in the same area).
2. Tell it what you need
Check the "Meeting summary" box, and click "Start Zoom AI." That is the only setup required. AI Companion listens for the rest of the call using the audio transcript and, where enabled, screen-share content and chat messages, and needs no further prompting from you during the demo.
3. Review and use the result
After the call ends, the summary arrives by email and posts to the meeting's Zoom Team Chat group, usually within a few minutes. You can also find it later in Zoom Hub or the web portal under My Account > Summaries. Read it against your own notes: pull out the specific technical questions and action items, confirm they match what was actually said, and route them to the right owner, yourself for a follow-up email, an engineer for a spec question you could not answer live.
Real Example
Scenario: A demo to a plant operations team raises questions about integration with their existing SCADA system, a request for a sizing worksheet, and a scheduling ask for a follow-up call with their controls engineer.
What you do: Enable Meeting Summary at the start of the call as usual. After the call, the summary lands in your inbox with three action items already grouped: SCADA integration question, sizing worksheet request, and a suggested next call.
What you get: A starting draft for your follow-up email instead of a blank page, built from what was actually said rather than what you remember saying.
Tips
- Participants need to be signed into a Zoom account during the call to automatically receive the summary. Warn a customer contact ahead of time if you want them to get it directly, or plan to forward it yourself
- If the demo walks through a customer's real infrastructure, confirm the summary goes only to the deal team, not a broader distribution list, and turn Meeting Summary off for any portion of the call that touches export-controlled or NDA-restricted material rather than trusting a later edit to remove it
- Zoom's transcript-based summary can misattribute a point to the wrong speaker or condense a nuanced technical answer. Treat it as a first draft of your notes, not the record you forward to a customer without a read-through
Tool interfaces change. If the AI icon has moved, look for a similar AI Companion or "AI" control near the top of the meeting window's toolbar.
